Start from the shape of your team
Where are your people located? Full-time employees, contractors, or both? Hourly or salaried? Multiple entities? The right payroll software maps closely to the shape of your workforce today — and the shape you expect in 18 months.
List the must-haves
Direct deposit, tax filing, benefits integration, time tracking, multi-state support, and reporting are common must-haves. Write down which are essential vs. nice-to-have.
Think about integrations
Payroll touches HR, accounting, time tracking, benefits, and sometimes expense tools. Clean integrations save hours every month. Ask for a specific list of supported integrations and read their docs.
Evaluate support and compliance
Payroll errors have real consequences. Look at the provider's history with tax filings, how they handle corrections, and how fast real humans respond to urgent issues.
Model the all-in cost
Base pricing plus per-employee fees plus add-ons (benefits, HR, time tracking) is often very different from the headline number. Build a 12-month cost model before you commit.
Pilot before you buy
Where possible, run a parallel payroll cycle before switching full-time. It's the fastest way to spot misconfigurations before they become real paychecks.
